How to move emails to Local folder to save server space
Last Updated about a month ago

Moving your emails from the IMAP server to create more space, but without deleting your emails

Thunderbird

Right-click on "Local Folders."
Select "New Folder" and give it a name eg. Old Emails.
Click "Create Folder."

Select Emails:
Navigate to the mailbox containing the emails you want to move.
Select the emails

Move Emails:
Either drag the emails to the newly created folder or right-click on the selected emails.
Choose "Move To" and select the newly created local folder.

These emails are now stored on the PC or laptop and not on the server. They won't be available to other clients, e.g. if you have the same email account on your phone too, you won't be able to see these emails there.

Outlook

Press 'File' in the top left
Select Accounts Settings -> Account Settings
Select 'Data Files' from the top row then 'Add...'
Name the file something like Old Emails or Local then press OK

You may need to refresh Outlook for the folder to show on the left hand side.

Once you see your new folder on the left you can drag and drop selected emails into the new local folder.

Tip: To move a lot of emails at once, select one email then scroll up or down (Depending on how you view Outlook - Ascending or Descending) then hold SHIFT and click another email. This will highlight all emails in between the two you have selected and allow you to move them over to the new local folder.
